【Job Overview】

 

This role provides administrative support on IP matters, including patents, industrial designs and trademarks, as well as IP related legal processes, such as contracts and legal documents, inventor rewards, patent oppositions, and litigation. The work includes using multiple specialized software applications, including our case management system and external online filing systems. Tasks include providing support to other members of the IP team, tracking progress and communicating with internal and external stakeholders on a daily basis.

 

【Main Responsibilities】

 

  • Provide administrative support to the IP team
  • Organize and maintain electronic case management system
  • Maintain intellectual property files, including hard copies of some documents
  • Docket and manage deadlines, including deadlines critical to preserving SHL’s IP portfolio
  • Coordinate with outside counsel
  • Assume administrative responsibility for filing new patent, design and trademark applications before relevant IP offices, directly before the EPO and in conjunction with outside counsel in other jurisdictions 
  • Assist the IP team to organize and prepare meetings 
  • Prepare simple assignments, declarations, powers of attorney, NDAs etc. and obtain signatures
  • Assist with legalization and authentication of legal documents
  • Initiate and manage invoice approval processes according to SHL’s policies
  • Update and maintain a record of all payments carried out
  • Enter costs of all invoices on IP Management System (IPMS)
  • File and scan documents
  • Handle incoming postal mail and calls
  • Perform other administrative tasks as assigned

 

【Skills and Qualification】  

 

  • Bachelor's degree or above
  • Excellent verbal and written communication skills in English.
  • Strong attention to detail.
  • An ability to work independently and to prioritize and multi-task to complete projects effectively and efficiently. 
  • Outstanding organization skills. Amenable and proactive approach to working and dealing with others.
  • Excellent IT skills, including at least MS Office (Word, Excel, Outlook and PowerPoint).
